This Privacy Policy explains how AccrediMatch, Inc. (“AccrediMatch,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with our online platform at AccrediMatch.com, our mobile application, and all related services, features, and products (together, the “Services”).

AccrediMatch operates a technology platform that connects independent healthcare professionals (“Care Professionals”) with healthcare organizations (“HCOs”) for business-to-business healthcare engagements. AccrediMatch is a technology services provider. It is not a staffing agency, an employer of record, or a healthcare provider, and it does not employ, supervise, or direct Care Professionals.

Sensitive Personal Information

Some of the information we collect is treated as sensitive under applicable state privacy laws, including your Social Security number, driver license number, and precise location information. Where required by law, we obtain your consent before collecting or processing Sensitive Personal Information. You provide that consent when you choose to submit the relevant information or when you enable a feature that relies on it, such as location during a Visit. You may withdraw your consent at any time by contacting us at info@accredimatch.com, although doing so may limit your ability to use certain parts of the Services. We use Sensitive Personal Information only for the purposes described in this Privacy Policy, such as identity and eligibility verification, and we do not use or disclose it for any incompatible purpose.

Background Checks and Consumer Reports

As part of verifying eligibility to use the Services, we obtain identification and background checks through a third-party consumer reporting agency. These background checks are consumer reports within the meaning of the federal Fair Credit Reporting Act (FCRA) and applicable state law. We use them to verify identity and to assess eligibility to participate on the platform. Where we make a decision that adversely affects your ability to use the Services based in whole or in part on the information in a consumer report, we will provide the notices and rights required by the FCRA. This includes providing you, before taking final adverse action, a copy of the report and a summary of your rights under the FCRA, and a reasonable opportunity to review the report and to dispute its accuracy or completeness with the consumer reporting agency.

Protected Health Information and HIPAA

In connection with facilitating Visits, we may receive limited Protected Health Information (PHI), such as a patient’s name and address and limited information about a patient’s condition included in a Visit posting. To the extent we create, receive, maintain, or transmit PHI on behalf of an HCO, we do so as that HCO’s Business Associate under a Business Associate Agreement (BAA). PHI is governed by the applicable BAA and the HIPAA Rules, and not by the consumer terms of this Privacy Policy. We limit our use and disclosure of PHI to the minimum necessary to facilitate the Visit and as permitted by the applicable BAA. The HCO, as the covered entity, is responsible for obtaining any patient consents or authorizations required for disclosures of PHI through the Services.

How We Share Your Information

We do not sell your personal information. We do not process your personal information for targeted advertising or share it for cross-context behavioral advertising. Under some state privacy laws, a “sale” means disclosing personal information to a third party in exchange for monetary or other valuable consideration, and “targeted advertising” means displaying advertisements selected based on personal information obtained from your activity across nonaffiliated websites or applications over time. AccrediMatch does not engage in either.

We share personal information only as described below:

Mobile and SMS opt-in data. The sharing described in this section does not include your mobile phone number, SMS opt-in data, or text messaging consent records for any third party’s marketing or promotional purposes, as further described in the SMS/Text Messaging and Mobile Privacy section below. Protected Health Information is not shared under this section and is handled as described in the Protected Health Information and HIPAA section above.

You can decline to provide personal information, although doing so may prevent you from using certain features of the Services.

SMS/Text Messaging and Mobile Privacy

AccrediMatch offers text messaging (SMS) to communicate with care professionals and other users about recruiting, job applications, onboarding, scheduling, account notifications, and other matters related to your use of the Services. We send text messages only to individuals who have opted in to receive them.

For recruiting, consent to receive text messages is obtained verbally by telephone after an individual has applied to one of our job postings. During that call, and before any text message is sent, a member of our team explains the messages that will be sent and asks the candidate to agree to receive them. We do not send text messages to any person who has not opted in.

Message frequency varies, and message and data rates may apply. You may opt out of text messages at any time by replying STOP to any message you receive from us, after which you will receive a confirmation and no further messages. Reply HELP for assistance, or contact us at info@accredimatch.com.

We do not sell, rent, or share your mobile phone number, SMS opt-in or consent information, or text messaging originator opt-in data with any third party or affiliate for that party’s marketing or promotional purposes. The sharing described elsewhere in this Privacy Policy, including sharing with service providers and sharing in connection with a merger, sale, or business transfer, does not include your mobile phone number, SMS opt-in data, or consent records for any third party’s marketing or promotional use.

We may share your mobile information only with the vendors that help us deliver messaging services on our behalf, such as our telecommunications and messaging providers, and only to the extent necessary to provide those services. These providers are not permitted to use your information for any purpose other than providing messaging services to us.

Cookies and Tracking Technologies

Like most online services, we collect certain information automatically using cookies and similar technologies, such as browser type, language preference, referring site, and the date and time of each request. We use these technologies to operate and secure the Services, remember your preferences, and compile aggregate statistics about how the Services are used for our internal purposes. We do not use cookies or similar technologies for third-party advertising, and we do not allow third parties to use them to track you across other websites or applications for advertising.

Most web browsers let you control cookies through their settings. Because there is no consistent industry standard for recognizing Do-Not-Track (DNT) signals, we do not currently respond to them. Because we do not sell personal information or engage in targeted advertising, opt-out preference signals directed at those activities do not apply to the Services.

Data Retention

We retain personal information for as long as necessary to provide the Services, maintain your account, comply with our legal, tax, accounting, and regulatory obligations, resolve disputes, and enforce our agreements. When we no longer have a legitimate business or legal need to process your personal information, we will delete or de-identify it, or, if that is not feasible, securely store it and isolate it from further processing until deletion is possible. Retention periods vary depending on the type of information and the purpose for which it was collected.

Data Security

We take reasonable administrative, physical, and technical measures designed to protect personal information from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. Our platform is hosted in a cloud environment configured to support healthcare data protection requirements, and we use measures such as encryption of data in transit and at rest and access controls appropriate to the sensitivity of the information. No method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security. Documents you upload, including credentials containing personal information, are provided at your own risk and will be handled in accordance with this Privacy Policy.

Your Privacy Rights and Choices

Depending on the state in which you reside, you may have certain rights regarding your personal information. AccrediMatch currently offers the Services in Texas and other U.S. states, and the rights below reflect the comprehensive consumer privacy laws in effect in those states, including the Texas Data Privacy and Security Act (TDPSA).

You or an authorized agent acting on your behalf may submit a request by contacting us at info@accredimatch.com. To protect your information, we will take reasonable steps to verify your identity before responding, and we may ask for information sufficient to confirm that you are the person about whom we hold personal information. We will respond within the time required by applicable law, generally within 45 days, and we may extend that period where permitted.

As described above, where required by law we obtain your consent before processing Sensitive Personal Information, and you may withdraw that consent at any time by contacting us.

Right to appeal

If we decline to act on your request, you may appeal our decision by contacting us at info@accredimatch.com within a reasonable time and describing the basis for your appeal. We will respond in writing within 60 days and explain the action we take or decline to take and our reasons. If we deny your appeal, you may submit a complaint to the Texas Attorney General at https://www.texasattorneygeneral.gov, or to the appropriate regulator in your state.

Non-discrimination

We will not discriminate or retaliate against you for exercising any of these rights.

Your communications choices

We send you service-related and transactional messages that are necessary to operate the Services and your account. We do not currently send marketing emails. If we introduce marketing communications in the future, we will provide a way to opt out. You may manage text message preferences as described in the SMS/Text Messaging and Mobile Privacy section.

Children’s Privacy

The Services are intended for use by adults and are not directed to children under 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child, we will delete it. If you believe a child has provided us with personal information, please contact us at info@accredimatch.com.

Third-Party Services and Links

The Services integrate certain third-party services, such as payment processing and in-application messaging, and may contain links to third-party websites or applications. These third parties operate independently, and their collection and use of your information is governed by their own privacy policies. We are not responsible for the privacy practices of third parties, and we encourage you to review their policies.

Data Location

AccrediMatch is based in the United States, and we store and process personal information in the United States. The Services are intended for users located in the United States and are not directed to individuals in the European Union or other jurisdictions with laws that may differ from those of the United States.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this policy and, where appropriate, provide additional notice. Your continued use of the Services after the changes take effect constitutes your acceptance of the updated Privacy Policy.
